Ordering rules buyers should understand
Custom medal and badge order rules: mold fees, MOQ and pricing explained.
A reliable factory quote separates one-time setup from per-piece production and defines what must be approved before tooling, sampling and mass production begin.

Mold fees pay for product-specific tooling. MOQ defines a viable production scale. Unit price normally falls as quantity rises because fixed setup work is spread across more pieces. Final cost depends on confirmed artwork, dimensions, material, finish, colors, attachments, packaging, quantity and delivery terms.
What is a custom medal mold fee?
A custom medal or badge is not selected from a ready-made shelf. Its outline, relief, lettering and recessed areas are created from approved artwork. A unique design therefore normally needs its own die, mold or other production tooling.
Artwork engineering
The factory converts the design into manufacturable relief, lines, borders and color areas.
Product-specific tooling
A die or mold reproduces the confirmed design, size and construction during production.
Machine setup
Production equipment, material and process parameters are prepared for the approved specification.
Trial and adjustment
Early pieces help confirm relief, edge definition, color areas and attachment fit before the main run.

Total quoted manufacturing cost = tooling and setup + sample or approval costs when applicable + unit production price × quantity + packaging, shipping and taxes as agreed.
Is the mold fee paid only once?
For an unchanged repeat order, existing tooling may be reusable. That does not mean every mold is guaranteed forever. Reuse depends on the same artwork, dimensions and construction, the tool's condition and availability, storage terms, and the conditions written in the quotation.
- Usually reusable: the design, size, relief and construction remain unchanged and the tooling is still serviceable.
- May need modification: small approved changes affect lettering, relief or attachment geometry.
- Usually needs new tooling: a different size, outline, major artwork change or new construction is requested.
- Not automatically transferable: physical tooling normally remains with the manufacturing supplier unless the written agreement says otherwise.
If repeat orders matter, ask the supplier to state the tooling retention and reuse terms in the quotation or pro forma invoice.
How quantity changes the unit price
Custom medal pricing is not a simple retail price multiplied by quantity. Tooling, artwork preparation, setup, sampling and inspection contain fixed work. Larger orders spread that work across more pieces and usually improve production efficiency.
| Quantity range | Typical pricing position | What buyers should expect |
|---|---|---|
| Below 500 pcs | Case-by-case | Outside our standard starting quantity; fixed setup can make the unit cost uneconomical. |
| 500–999 pcs | Entry production range | Suitable for a first standard production run with confirmed specifications. |
| 1,000–2,999 pcs | Better unit economics | Fixed work is spread across more pieces and material planning is more efficient. |
| 3,000+ pcs | Strongest scale efficiency | Ask for a fresh tier quotation because specification and packaging still affect the result. |

Compare quotations only when the specifications are equal. A lower price with thinner material, simpler relief, a different ribbon or bulk packing is not the same product.
What information changes the factory price?
Size and thickness
Larger or thicker pieces use more material and may require different tooling or packing.
Relief and construction
2D, 3D, cut-outs, moving parts and double-sided detail have different production requirements.
Finish and color
Plating, antique treatment, enamel areas, printing, glitter and dual finishes affect process time.
Accessories and packing
Custom ribbons, attachments, backing cards, boxes and individual packing change the complete unit.
Destination, delivery deadline and trade terms also matter. Ask whether shipping, import duty and local taxes are included. See our custom medal cost guide for a deeper specification breakdown.
Sample fees, artwork revisions and approval rules
A mold fee and a sample fee are not necessarily the same charge. Tooling creates the production die or mold. Sampling covers preparation of a physical approval piece and the setup needed to make it.
- Before tooling: review spelling, dates, logo shape, size, relief direction, finish, colors and attachments.
- After tooling: artwork or structural changes may require modified or new tooling and a revised quotation.
- At sample approval: confirm visible detail, plating direction, enamel placement, ribbon and assembly.
- Before production: mass production begins only after the required written approvals and agreed payment or deposit conditions are met.
Our typical sample stage is about 7–10 days after artwork and specifications are confirmed. The clock does not begin with the first inquiry if product details are still changing.
Use the artwork-to-sample design guide to prepare files and mark critical dimensions before approval.

The rule that protects both buyer and factory
Product images and general guides explain capability, but the approved artwork, specification sheet, written quotation and pro forma invoice define an individual order. When a detail affects appearance, function, cost or delivery, put it in writing before production.
Frequently asked questions
Why is there a mold fee for a custom medal or badge?
A unique design normally needs product-specific tooling. The fee covers engineering and tooling work required to reproduce the approved artwork at the confirmed size and relief.
Does the unit price decrease when quantity increases?
Usually yes. Fixed preparation and setup work is spread across more pieces, and larger runs can use factory time and material more efficiently.
Can an existing mold be reused for a repeat order?
It may be reusable when artwork and specifications are unchanged and the tooling remains available and serviceable. Confirm the applicable terms in writing.
Are the sample fee and mold fee the same?
Not necessarily. Tooling creates the production die or mold; sampling covers preparation of an approval piece and related setup.
What changes can cause a revised quotation?
Changes to size, thickness, outline, relief, material, finish, colors, attachment, packaging, quantity, delivery destination or deadline can affect the quotation.
Can I order fewer than 500 pieces?
Our standard starting quantity is 500 pieces. Smaller projects may be reviewed case by case because setup and tooling can make a short run uneconomical.
