From logo file to bulk delivery

How to Order Custom Enamel Pins in Bulk

Define the pin, backing, presentation and sample checks before choosing a quote. A real campus order shows why two offers can cover different finished items.

A guide for purchasing teams

Agree what the complete order includes.

To order custom enamel pins in bulk, establish the purpose and quantity per design, confirm the front and back, align the quotation scope, approve a complete sample, and then arrange production, packing and delivery.

The purchase extends beyond the pin’s front. It also involves the fastener, backing card, assembly and approval arrangements. Two offers described as “imitation enamel with a butterfly clutch” can still deliver different packages.

If you are choosing the application, explore custom pins for brands and events. The steps below turn that use into a clear buying brief.

01 / Prepare the request

Send six essentials with your artwork.

A logo is enough to begin the discussion. Provide the use, artwork and quantity, and identify where you would like the supplier’s advice.

Information that shapes the quote and production plan
InformationWhy it matters
Purpose and recipientsWearing, gifts, campus events, exhibitions and retail programs can require different fasteners and presentation.
Artwork, wording and sizeReview small text, fine lines, colour areas and important details at the intended dimensions.
Quantity per designList different logos, years or colour versions separately so production can be assessed.
Surface and wearing requirementsDescribe the finish, feel, attachment and intended fabric, or request a recommendation.
Packing and assemblySpecify individual bags, printed backing cards or boxes, including who will mount the pins.
Destination and receipt dateAllow time for revisions, samples, production and transport.

If you need two budget options, ask for a side-by-side list of the specifications and services in each. Keep the details attached to the correct offer.

02 / Front and back

Confirm the appearance and the way it will be worn.

Describe whether you want colour nearly level with the metal borders or a surface with distinct recesses. Identify gradients, photographs, fine lettering and the parts that must remain recognisable.

Process names should be tied to the actual surface. Use the soft and hard enamel comparison to discuss the proposed construction and any artwork adjustments.

For the reverse, explain where the pin will be worn, how often it will be removed, and its size and weight. Confirm the fastener, post positions and number of posts, then try the sample on a representative material. The pin backing guide can help with that choice.

03 / A real buying decision

Two campus pin quotes covered different delivery scopes.

A gift distributor in Thailand was sourcing event keepsake pins for a local campus club. The initial request supplied the artwork, specified imitation enamel with butterfly clutches, and asked for a budget option and an upgraded option.

While preparing the comparison, we identified a difference in expectations. The customer thought the options mainly represented different material grades and assumed the budget option also included printed backing cards and a pre-production sample. The actual offers differed in their fasteners, packing, cards and sample arrangements.

For this event, the customer wanted a complete gift presentation with an information card. We also recommended checking how the fastener worked in use, rather than choosing the complete order from the front artwork alone.

The customer selected the upgraded option. The pre-production sample established the colour, backing-card layout and thicker copper clutch. Bulk production started after approval, and the pins were delivered already mounted on their printed backing cards, so the customer did not need to mount each pin at the event.

The result

The delivered colours, clutches and backing cards matched the approved sample. Event distribution went well, and the distributor continued placing campus-event pin orders with us.

The useful step was making the scope visible before production. A clear comparison and a complete sample gave the budget, appearance and handover a shared reference.

04 / Choose the right scope

Keep a budget option meaningful.

Bags, backing cards and presentation boxes suit different uses. Basic protective packing remains worth considering when it fits the event or the customer already has cards and an assembly plan.

If you will mount the pins after delivery, allow for the people, time and counting involved. If the supplier will do it, confirm the card artwork, pin position, orientation and protective packing. In the campus project, presentation and mounting were important parts of the chosen scope.

Evaluate the actual clutch specification and sample fit. A metal name alone does not replace the fastening structure, build quality and performance for the intended use.

Match the sample review to the priorities. Where colour, card layout and the gift presentation affect acceptance, include them in the approval. A front-view proof settles a narrower set of details.

05 / Supplier review

Ask how your order will be managed.

When assessing an enamel pin manufacturer or custom pin supplier, focus on four practical capabilities:

  1. Artwork review: Can they identify fine lettering, lines and colour areas that need adjustment at actual size, and explain the proposed changes?
  2. Specification clarity: Can they describe the material, surface, fastener, cards and packing, and connect optional upgrades to their purpose?
  3. Sample coordination: Can they cover the important requirements and consolidate approval into one version?
  4. Production and delivery checks: Can they explain how the order will be checked against the sample, including mounting, sorting and quantity labels?

Relevant examples and factory information help you understand experience and capability. Your own artwork, specification and approved sample establish the order reference. See the factory and manufacturing overview when preparing questions.

06 / Approve the complete sample

Give production a reference for the whole item.

A pre-production review should cover the details that could change the customer’s decision. Bring these checks together:

Sample review scope
AreaWhat to confirm
Front and edgesWording, logo, lines, colour, surface and appearance at actual size.
ReversePost positions, number of posts, supplied fastener and fitting for the intended use.
Card and packingPrinted layout, orientation, mounting position, protection and complete presentation.
Approval recordFinal artwork version, sample reference, agreed changes and production requirements.

Where colour references are specified, record the colour code, swatch or approved physical sample and identify who consolidates feedback. Agree any particular colour standard or checking method before production.

If the sample differs from the request, identify the discrepancy. If the customer wants an additional feature, record it as a revision. That makes the next change, timing and any revised price easier to confirm.

Sample photographs

Front-view photographs help discuss the artwork and how pins look in use. The reverse, printed card and protective packing complete the sample review.

07 / Delivery and receiving

Plan assembly, counting and distribution.

Work backwards from the required receipt date through artwork, sampling, production and transport, with time for the customer’s review. For a fixed event, distinguish dispatch from arrival.

List the packing instructions by design: which card belongs with each pin, whether mounting is completed before delivery, how items are grouped, and how carton quantities are labelled. Clear identification helps with checking mixed designs or versions.

At receipt, check quantities and packing by version, then compare the products with the approved sample and artwork. Use photographs and the relevant version to explain any discrepancy so the supplier can investigate.

Keep the artwork and sample record for reorders, and confirm the quantity, version, quotation and timing again when planning the next batch.

08 / A brief you can reuse

Send the artwork and the complete requirement.

Replace the bracketed fields, or request advice where a specification is undecided.

We need custom pins for [purpose and recipients]. Artwork revision: [file or version]. Quantity per design: [list]. Proposed dimensions: [width and height / recommendation requested].

Desired surface: [appearance or reference]. Colour reference: [code / swatch / recommendation requested]. Wearing location or material: [details]. Fastener: [specified / recommendation requested].

Packing: [bag / printed backing card / box]. Assembly: [pins mounted on cards / cards supplied separately / other]. Required arrival: [date] at [country and postal code].

Please list the scope and total for the pins, fasteners, packing, assembly, samples and transport. If offering a budget and an upgraded option, compare the differences and explain the sample approval scope and arrangements.

Extra Dream’s standard minimum is 500 pieces per design. List different logos, years or versions separately so the production options can be assessed. You can begin with the artwork and intended use, and we can help resolve the remaining details.

Before placing the order

Common buying questions.

Can I request a quote before choosing a pin process?

Yes. Describe the appearance, use, quantity and size, and include reference images. Ask the supplier to recommend a suitable surface and identify the specifications for each option.

Can a budget option without backing cards still be suitable?

Yes, when protective bags meet the need or the customer arranges mounting. If a complete gift presentation or direct distribution matters, include cards and assembly explicitly in the offer.

Does a pre-production sample only need to show the front?

Match it to the important requirements. Where the fastener, card layout and mounting affect use or delivery, include those details in the sample and retain the approval reference.

Can quantities across several designs be combined automatically?

List each artwork version, quantity and shared component so the supplier can assess production, minimums and pricing. The combined total summarises demand; the actual setup also depends on the differences between versions.
