Do you need a physical sample before bulk ordering custom medals?

A sample adds a decision point before one design becomes hundreds or thousands of finished pieces. Here is when it helps—and how to approve it clearly.

The short answer

Not every order needs a shipped physical sample. It is especially useful when the construction is complex, plating or color is important, the ribbon and packaging must work together, or the quantity and event deadline make a mistake costly. It lets you check the real size, weight, surface and wearing experience before authorizing bulk production.

Artwork, sample and bulk goods answer different questions.

01 / Plan

Production artwork

Confirm wording, graphics, dimensions, front and back orientation, construction, agreed colors and attachment specifications.

02 / Hold

Physical sample

Handle the metal. Check relief, plating, color placement, edges, weight, ribbon attachment and packaging as actual objects.

03 / Repeat

Bulk production

The factory checks the finished batch against the final approved files and sample record. Approving one sample does not approve the whole batch.

State the sampling decision during quotation: what the sample includes, who pays for the sample and courier, when approval is due, and which production step may start only after approval. Any mold, sample or revision fee should be explicit in the written quote.

When is a physical sample worth the time?

Use the order's risk and specifications—not a universal quantity rule—to decide.

First order, new design or large quantity

Reserve time for a physical sample and written approval so an unverified detail is not repeated across the batch.

Finish, color, relief or unusual shape matters

Inspect the real finish and construction, then record the reference or acceptance standard.

Ribbon, clasp or gift box is part of the experience

Request the complete combination where possible, not just a bare metal piece.

Unchanged repeat order

Compare the prior approved sample and files with this purchase order; agree how the first piece of the new batch will be checked.

There is no time to courier a sample

Define what photos, video and inspection records can approve—and what cannot be checked without handling the item.

Cost and timing depend on the design, tooling, revisions, courier route and production schedule. Confirm them for your order.

A practical inspection

Six checks when the sample arrives.

  1. 01

    Front, back and wording

    Check every name, year, number, mark, direction and artwork version. Small lettering is easy to miss in a photograph.

  2. 02

    Dimensions and construction

    Measure agreed width, thickness, opening and shape. Check weight against the order if a weight requirement was specified.

  3. 03

    Surface and color

    Review plating, relief depth and color placement under agreed reference conditions. Look for obvious scratches, bubbles or missing color. Screens alone are unreliable color references.

  4. 04

    Edges and connections

    Feel the edges and check whether the slot, jump ring and other fittings are secure enough for the intended use.

  5. 05

    Ribbon and packaging

    Check ribbon width, print, stitching and attachment direction. Compare sleeves, boxes and any other packing with the quote.

  6. 06

    Real use

    Hold, wear, hang or pack it once. A visually correct medal should also work for the ceremony, retail display or gift presentation.

Different reference projects

Images can support a check. They cannot replace the approved specification.

Written approval

“Looks good” is not a production instruction.

In one message, identify the sample number or photo version, what you accept, what must change, and whether the revised item needs another review. If only one side or one color has been approved, say which other parts remain open.

The Oasis Metal team can then update the controlled files or sample record. If wording, size, color, accessories or packing change after approval, both sides should confirm any effect on tooling, price and delivery before proceeding.

“We have reviewed sample [ID], including the front, back, dimensions, finish, ribbon and packaging. We accept [list]. Please revise [list] and send it for another review. We will approve bulk production after these points are confirmed.”

From one piece to the full order

Keep the approved standard with the batch.

Keep final artwork, color and plating requirements, attachment details, packing instructions, and the physical sample or a clear sample record under the same order version. Agree on first-piece confirmation, in-process checks and pre-shipment inspection. Define acceptable dimensional or appearance differences before production when they matter.

If something differs, compare it with the approved standard, record the issue and affected quantity, and agree on rework, replacement or another remedy.

A useful sentence for your inquiry

Make sampling an explicit approval step.

“Please state whether a physical sample is needed, what accessories it will include, the sampling and courier costs, the timing, and how you will use my approved sample to check the bulk order.”

That question turns sampling into a clear decision with a cost, schedule and acceptance standard—not simply a good-looking photograph.
